━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📋 THREE CUSTOM COLUMNS ON YOUR GUEST LIST ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Name up to three extra columns yourself. Printer code, hotel, invitation type — whatever your guest list needs to carry. Guest List → Columns → Hidden Columns → Custom Column 1, 2, or 3 Click the pencil to give the column a name, then click + to show it. • Once named, it works like any other guest-list column. Your custom columns appear in: • Guest table • Add/Edit Household • Export CSV • Print view • Import CSV If an imported spreadsheet has a column with the same name, VowProof matches it automatically. • Custom columns work in the Client Portal too. If you choose to show the column, your couple can: • See it in their guest table • Fill it in when adding a guest • Edit it later • Get it in their Download Template spreadsheet • Good to know: • A custom column without a name stays hidden everywhere. • Column names are studio-wide, just like your other guest-list column names. • Each household can have one value per custom column, up to 200 characters. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📝 PROPOSALS: SELECTION REVISIONS AFTER SENDING ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Turn on Selection Revisions for a proposal you've already sent. Selection Revisions let your client change their selections while reviewing proofs and let you add option groups after signing. Previously, this had to be enabled before the proposal was sent. Now, on a signed proposal's Work Order, Owners and Admins will see: Turn On Selection Revisions next to the disabled Add Post-Signing Group button. Project → Work Orders → Work Order • The setting applies only to that proposal. VowProof records who enabled it. Once Selection Revisions are turned on for a proposal, they cannot be turned off again. • New options are priced against what the client actually signed for. If the original proposal included a discount, VowProof will not apply that discount a second time when the client adds their first new option. • Add-on invoices now list only the add-on. A post-signing selection could previously create an invoice with the correct amount but list every original order item plus the add-on twice. That's fixed. No affected invoice had reached a client. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📅 A MEETINGS CARD ON THE PROJECT PAGE ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • See every consultation booked with a client. The project's Overview tab now has a Meetings card beside Collaborators. You'll see: • Upcoming meetings first • Date and time • Video meeting Join link • Past meetings underneath • Schedule a meeting directly from the project. Click Schedule Meeting and the booking window opens with that client already selected. • The Meetings card is for your team only. Your client and their planner do not see it. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🎨 LIBRARY IMAGES IN MOOD BOARD TEMPLATES ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Add images from your Library to a Mood Board template. Mood Boards → Open a Template → Add Element → Image → From Library It's the same Library picker you already use on a client's Mood Board. When you apply the template, the image is copied onto that client's board automatically. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ ✉️ EMAIL & INBOX ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • The Unread badge on Linked Emails finally clears. Replies sent to your studio's VowProof Mail address were being counted as unread, but nothing ever marked them as read. Now, opening the conversation in your Inbox clears the Unread badge for the entire studio. Want to come back to it? Use the new: Mark as Unread button in the conversation header. • Connected mailboxes keep their own read status. Conversations from Gmail or Microsoft 365 follow the read/unread status of your connected mailbox. VowProof does not change anything inside your Gmail or Microsoft mailbox. • Compose now tells you when VowProof Mail was used. If you don't have a mailbox connected — or your connection needs attention — emails from a project's Compose button still go out. You'll now see: Sent via VowProof Mail along with the reason. Email Activity in your Inbox shows it too. • Gmail and Microsoft 365 connections now check permissions immediately. If a permission VowProof needs is unchecked during the connection process, the connection stops and tells you exactly which permission needs to remain enabled. Previously, the connection could appear successful and fail only when you tried to send an email. Settings → Integrations • Send Email and Share Proof now use the correct studio's templates. If you belong to more than one studio, these windows now always use the templates belonging to the project's studio. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 💳 PAYMENTS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • See your Stripe payouts in one click. A new View Payouts in Stripe link takes you directly to your Stripe payout information. You'll also see a short explanation of when money reaches your bank. Client payments go directly into your Stripe account. VowProof never holds the money. Stripe sends it to your bank according to your Stripe account's payout schedule. Find it under: Settings → Integrations → Payment Processing or: Payments • Tips no longer affect a payment plan's Balance. On an invoice with a payment plan and a recorded tip, the Balance could change by the tip amount depending on which screen saved the invoice. Tips are gratuities shown below the invoice total. They are never part of what your client is asked to pay. That's now handled consistently everywhere. No live invoice was affected. • Payment receipts now include your business phone number. Set your number under: Settings → Business ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ ⚙️ WORKFLOWS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Workflow templates now warn you about broken steps. If a workflow step depends on something that's been disabled or deleted, you'll see an amber warning telling you exactly what's missing. This includes steps that: • Send a contract • Send a form • Move a Work Order to a stage The workflow header also shows how many steps need attention. Templates → Workflows • A workflow with a broken step cannot be turned on. Fix the missing piece first so the workflow can't fail halfway through a client's project. Less serious warnings remain advice only. For example, if a step waits for a form that the workflow itself never sends, VowProof warns you but still lets you decide what to do. • Reminder automations now show how often they ran. Proof Reminder and Payment Reminder rules on the Workflows page now show their actual usage. For example: 3× Triggered ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🔧 SMALLER FIXES ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Consultation cancellation confirmations now stay on screen. The confirmation previously disappeared a moment after the client cancelled. Starter Plan cancellation pages also now show: Powered by VowProof just like other client-facing pages. • Store add-ons that couldn't start during the original connection now retry automatically. If an add-on has been waiting for more than a week, VowProof tries the setup again. Billing begins only when the retry succeeds. Nothing is backdated. If the store never received its add-on free trial, the trial begins when the connection succeeds. • The Help Guide has caught up. Custom CSS gives you the pen. Paste your own CSS and use it to style the pages your clients see: • Proposals • Proofs • Invoices • Contracts • Mood Boards • Questionnaires • Booking Page • Client Portal Settings → Branding → Custom CSS • Check everything before your clients see it. Press Check & Preview to see exactly what your custom styling will look like. Saving and publishing are separate: ON = Your saved CSS appears on client pages OFF = Clients see the standard VowProof style Turning Custom CSS off does not delete your work. Your CSS stays saved for later. • Important client actions are always protected. Custom CSS can never hide, cover, move off-screen, or disable critical buttons like: • Sign • Approve • Pay • Decline The preview includes a sample Approve button so you can see that protection working. •First step before we release our full CSS customization options ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 👥 GIVE A PLANNER THEIR OWN VIEW-ONLY LOGIN ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • One of our most-requested beta features is here. Give a wedding planner, mother of the bride, or another collaborator their own Client Portal login. Project → Overview → Collaborators → Portal Access • They can see progress without changing anything. Collaborators can see: • Timeline • Proofs and their status • Shared documents • Guest List • Submitted questionnaire answers • Mood Board • The couple's Mood Board reactions They cannot: • Approve proofs • Sign • Pay • Edit guests • Leave Mood Board feedback Those actions stay with your couple. • Financial information stays completely private. View-only collaborators do not see: • Invoices • Proposal prices • Project totals • One planner. One login. Multiple weddings. A planner working on several of your projects gets one dashboard with each project clearly marked View Only and labeled with the role you assigned. They use their own email address and their own PIN. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 💳 MONEY THAT FINALLY LINES UP ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Proposal deposits now carry over to the invoice. Previously, proposal payments and invoices were tracked separately behind the scenes. That meant an invoice could ask your client for money they had already paid. Now, when you create an invoice for a project with an unclaimed proposal payment, VowProof connects them automatically. The deposit is credited immediately and the invoice shows the actual remaining balance. • Invoice rows now show both sides clearly. For example: $1,750.00 paid · $1,750.00 due The project's Paid column also shows the amount actually received instead of a dash. • Print a receipt for proposal deposits. Payments Received now includes a Print button for every incoming payment. The branded receipt includes: • Your business • Client • Project • Payment amount • What the payment was for • VowProof warns you before recording the same payment twice. If a deposit already exists on the proposal, Record Payment lets you know before you accidentally double-count it. If a proposal deposit is larger than the invoice, VowProof shows you the numbers and lets you decide what to do instead of guessing. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ ✉️ THE EMAILS VOWPROOF SENDS ARE NOW YOURS TO WORD ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Fourteen automatic emails are now editable templates. This includes: • Portal invitation • Portal login link • Questionnaire confirmation • All five payment reminders • All three proof reminders • Contract email • Proof comment replies Every template starts with VowProof's existing wording and continues sending exactly as before. Edit the ones you'd like to make your own. Reset to Default restores the original wording at any time. Settings → Templates • Important client actions stay protected. Critical elements like the Portal PIN, Login button, and Review Proof button cannot be removed from their templates. Your client will never receive an automatic email with no way to complete the action. • Templates are now organized into folders. You'll see sections for: • Client Portal • Contracts • Payment Reminders • Proofs • Questionnaires Your own templates remain at the top. You can also rename folders and move templates between them. • Automatic reminders now sign off with YOUR business name. The old "This is an automated reminder from VowProof" language now uses your business name. • Review and edit workflow emails before sending. Approve & Send now shows the finished email with: • Smart fields filled in • Recipient • Subject • Attachments Need to change something? Use Edit Email before sending. Your edits save back to that workflow step, so the correction sticks. • Send workflow emails without the branded layout. On a Send Email workflow step, turn off: Branded Email Layout The message sends as a simple email with your signature included. Great for inquiry replies and other messages you want to feel more personal. • Connected Gmail and Microsoft 365 emails no longer say "Sent on behalf of." If you're on Professional and sending through your connected mailbox, the email genuinely comes from you — so that extra line is gone. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🗂 YOUR OWN EVENT TYPES ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Not every project is a wedding. Create your own event types, such as: • Quinceañera • Bar Mitzvah • Corporate Event • Any other event you book Settings → Business → Event Types Give each type its own color and that color carries through to your calendar. Rename an event type and every project already using it updates automatically. • Manage event types directly from the Calendar. The Calendar page now includes a Manage Event Types button in the header. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📅 BOOKING & CONSULTATIONS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Schedule a meeting yourself. Consultations now includes a Schedule a Meeting button. Choose: • Client • Consultation type • Date and time Your client receives the same confirmation email, calendar invite, and reschedule link they would receive if they booked it themselves. • Limit a scheduler to a specific date range. Set: • Only Allow Bookings From • Only Allow Bookings Until Perfect for mini sessions or other limited booking windows. Dates outside the range are automatically greyed out. • Send booking links to existing clients without creating duplicate leads. Use Copy Direct Link on any scheduler. Your client gets the normal booking experience, but the appointment attaches to their existing record instead of creating a new lead. Workflow booking emails now use these direct links too. • See scheduled calls directly on a lead. Every consultation booked with that lead now appears on their record. Times display in your business timezone, with the client's local time underneath. • Action needed if you use booking deposits. We found that the Require Deposit setting on schedulers could show as saved when it actually wasn't. This is fixed. If you intended to require booking deposits, please open the scheduler and re-save that setting. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📋 PROPOSALS & PROOFS — RIGHT DOWN TO THE DETAILS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Separate proposals now stay separate. Sending the same couple several quotes — Save the Dates, Invitations, Signage, etc. — could previously cause one proposal to quietly replace another. VowProof now knows the difference between a revision and a completely separate proposal. Only true earlier versions are retired. Each separate proposal keeps: • Its own card • Its own status • Its own signing link • When a client has multiple active proposals, YOU choose which one an email should link to. VowProof asks instead of guessing. • Show quantities while keeping prices hidden. You can now display: Qty: N without showing per-line prices. Quantities can appear on: • Proposal page • Printed proposal • Proposal preview This is off by default. Settings → Financial → Show Quantities When Prices Are Hidden • Downloaded and printed proposals now respect your pricing visibility settings. If you've chosen a summary view, the PDF no longer reveals the detailed pricing you've hidden online. • Empty approval checklists stay empty. If you create a proof approval checklist without acknowledgment statements, VowProof no longer adds its own release language. Your existing templates with statements are unchanged. • Brand fonts now use their real weight. Browsers could previously create a fake bold when VowProof requested a font weight your custom font didn't actually include. Headings now use the real weight supplied by your font. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ ⚙️ BEHIND THE SCENES ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • You'll now know when your connected inbox stops syncing. If Google or Microsoft revokes access, or a needed permission wasn't granted, the Inbox clearly tells you there's a problem. A one-click reconnect option is provided instead of the Inbox appearing healthy while nothing is syncing. • Failed emails are now recorded honestly. If our email provider refuses a message, it is recorded as Failed instead of Sent and VowProof automatically retries it. Permanently undeliverable addresses are also recorded and skipped to help protect your sending reputation. • Export your Product Catalog. Products now includes an Export CSV button. • Choose whether Client Portal access is emailed automatically. Client Portal → Email Portal Access to Clients Automatically Turn it off if you'd rather give clients their PIN yourself, on your own schedule. • Additional security improvements. Several security-hardening updates shipped across these releases, including: • Stronger checks on browser requests • Protections around Custom CSS • Verification of saved links Nothing changes in how you use VowProof.
